Data Collection and Privacy Statement

Last Updated: 17 October 2026

Black Python Devs ("BPD", "we") runs this site for our community. This page explains what information the site records, why, and who can see it.

What we collect

Your account. When you sign up we record your email address (this is your sign-in identifier), a username derived from it, your name, and the optional profile details you choose to share:

  • display name
  • pronouns
  • a short bio
  • whether you're a Member or a Friend/Supporter/Ally
  • the country and state/province you live in
  • which subcommunities you identify with (e.g. LATAM,Native/Indigenous, Pacific Islander, Asian Religious Minority),
  • your communication preferences,
  • any social links (Twitter/X, Mastodon, LinkedIn, personal website).

Your country and state are used to place you in a region so we can share regionally relevant events and opportunities.

Except for your email address, all of this is optional — you decide what to fill in.

No passwords

The site is passwordless. We never store a password; instead, we email you a one-time code that expires within minutes and can only be tried a few times. Anyone with access to your email inbox can request a code for your account, so protect your email like a password.

Discord

You may link your Discord account after signing up. This stores your Discord account identity (such as your Discord user ID and username) so we can add you to the BPD Discord server and grant you the member role. Discord is a connection only — you cannot sign in to this site with Discord, and we never receive your Discord password. Linking also shares your site email with Discord's OAuth flow as part of the standard authorization.

Program applications and nominations

If you apply to be a Student Ambassador, or submit or receive a Council nomination or a Service Award nomination, we record the details on those forms:

  • names
  • contact emails
  • schools URLs
  • application statements.

Internal notes added by reviewers are never shown publicly.

Elections

We record that your account voted in an election so each member votes once. Your ballot votes/rankings are stored without any link to your identity, and the ballot

records are excluded from the site's audit logs by design.

Sponsorship requests

When events request sponsorship, we record:

  • event's name
  • website
  • dates
  • location
  • amount requested

We will also designate one or more Points of Contact (POC). We will keep their

  • name
  • email

To recieve payment, you will need to provide an invoice. Our Ramp system manages all payment PII. It is often that banking information and payee name and address is often captured in the process. Our policy is to advise against sharing this information with us and there is no expectation that this information be documented, recorded, or deleted from systems if given by the payee.

Amounts requested and granted kept internally for record keeping and can be used in case of an audit or budget review.

Messages and notifications

Leadership can send announcements in-app and by email, targeted by region, role, or affinity. We record the content and recipient count of each message.

Unsubscribe from email topics any time via your profile.

Audit log

For accountability, the site keeps a log of who created, changed, or deleted records (with exceptions above). This log is visible only to site administrators.

Server data

Like most websites, our hosting infrastructure (managed by BPD leadership) processes standard technical data such as IP addresses and session cookies needed to operate the

site. Sessions live in our cache server alongside the PostgreSQL database that stores site records.

Who has access

You can:

  • see and edit your own profile, notification preferences, and memberships.

Leadership Council and Executor members can:

  • access member-facing consoles for their roles (for example, sponsorship management is Executor-only) and can send community messages.

Administrators can:

  • view records: in the CMS and admin — including information you can see on your own profile, and internal notes on applications and nominations.
  • view the audit log

Service providers:

  • our email provider delivers sign-in codes and notifications
  • Discord receives your Discord identity when you link accounts. We don't sell your data, and we don't share it for advertising.

Sponsors:

  • Have the ability to message you based on your region and notification settings.
  • Sponsors can see those engaged in the Discord
  • Sponsors can see aggregate data collected

How long we keep data

We don't keep or delete data on a fixed schedule. We delete personal information as soon as it's no longer needed for the purpose it was collected. Most applications and other information is connected to an account which prevents the duplication of personal information.

Your choices and data removal

- Edit your profile details, subcommunities, and communication preferences at any time from your profile page.

- Unlink your Discord account at any time.

- To have your account deleted or your data corrected or exported, contact leadership@blackpythondevs.com. We'll remove or anonymize your account and personal details.

Changes

If we change what we collect or who can access it, we'll update this page and note the date above.
